Receptionist Duties and Responsibilities
a) Provide office support services in order to ensure efficiency and effectiveness within the
Main Activities
1. Receive, direct and relay telephone messages and fax messages
2. Direct the general public to the appropriate staff
3. Pick up and deliver the mail
4. Open and date stamp all general correspondence
5. Maintain the general filing system and file all correspondence
6. Assist in the planning and preparation of meetings, conferences and conference
telephone calls
7. Maintain an adequate inventory of office supplies
8. Respond to public inquiries
9. Provide word-processing and secretarial support
b) Perform clerical duties in order to maintain the company administration
Main Activities
10. Develop and maintain a current and accurate filing system
11. Monitor the use of supplies and equipment
12. Coordinate the repair and maintenance of office equipment
c) Performs receptionist functions
Main Activities
13. Answerallincomingcallsandhandlecaller’sinquirieswheneverpossible
14. Re-direct calls as appropriate and take adequate messages when required
15. Greet, assist and/or direct customers, visitors and the general public
Support the Executive Director and other staff
Main Activities
16. Assist the Executive Director and other staff as requested
17. Provide administrative services for the Executive Director
18. Perform other related duties as required
